From Dataloy Voyage Management System (VMS) version 3.24 we have extended our bunker functionality with a new web based module for bunker order management. Here you can register and track the status of a bunker requirement, that turns into an order, to having it invoiced.

The additions also enables bunker management systems and agents to make full two way integrations. Currently two Bunker Procurement Systems (BPS) has made integrations, and have been successfully tested: Clearlynx and World Fuel Service's BunkerLine. You can still add estimates on the port call level, by adding a estimated bunker quantity and price. This values will later be used as default values when registering the bunke requirement or order.

Advantages are:

  • Makes it possible to enter two products (bunker requirements/ order lines) at the same port, without the need to add two bunker port calls.

  • Enables the users to run reports and statistics based on all the bunker orders, per port, per supplier, status etc.

  • Makes it easy to get a list of e.g all the future bunker requirements.

  • Makes it possible to quickly search and/or filter on all the bunker orders by vessel, supplier, port.

  • Possibilities for integration with bunker procurement systems such as ClearLynx and World Fuel Services

Adding Estimates in Booking and Operations

You can still add bunkering estimates in the Booking and Operations module. This is where you are used to adding bunker quantities and prices. These will be used to estimate the voyage result until your bunker needs are materialising.

Add Bunker Quantity, Net Price and Extra Cost to have the Gross Price calculated.

This input will be used as default values when the actual requirement or order is created.

Create a Bunker Requirement or Order

When the bunker estimate is materialising and you need to start the process of procuring the bunkers you create the requirement or order directly in Booking and Operation module. Select the port call in question, and either press the Create Bunker Order… button, or right-click and choose Create Bunker Order.

A new Create Bunker Order window will open where you can fill in the bunker order details.

In case estimate values has been added on the port call the system will default using the bunker type, quantity and price from the estimate.

In case you want to change some of the defaulted values, click the bunker order line in the list of bunker order lines and you will be able to change the defaulted or other values on the bunker order line(s).

After you have clicked Confirm, the new bunker order will be added to the list with status Requirement.
To view the newly created order you can click the message that appares over the list of orders, saying that the order was successfully added.

View Bunker Orders

To display the list of bunker requirements and orders for a port all locate the port call and either press the 'Bunker Order' button, or right-click and choose Bunker Orders

If you want to see all Bunker Orders in the system, go to Modules → Bunker Management →  Bunker Management.

In Bunker Management module you can choose between two ways of viewing your bunker orders.
In Bunker Orders tab your orders will be listed grouped by voyage and port, while in Bunker Requirements tab you will see all your order lines across all vessels and ports.
Lists in both tabs can be filtered and sorted in case you need to locate a specific bunker order.

View details and edit/update the Bunker Order

Click on a bunker order in Bunker Orders tab if you need to see details or edit it. A panel will show on the right hand side of the screen including all details of the bunker order.

Inside this so-called “drawer” you can perform certain workflow actions (Activate, Deactivate, Stem, Register Delivery and Cancel) in addition to maintain the details of the order and order lines.

  • Change status via performing actions (Activate, Deactivate, Stem, Register Delivery, Cancel Bunker Order)

  • Delete Bunker Order

  • Edit fields on Bunker Order or Bunker Order Lines.

  • Add and delete Bunker Order Lines.

By default the details about a bunker order are limited to most important/relevant fields. You can click on the little arrow in the middle of the drawer to view and edit more details.

Customise the Bunker Orders and Bunker Requirements columns

You are able to customise the columns at the Bunker Orders and the Bunker Requirements view.
Click the menu at the right hand corner and select/deselect the columns.
